Let's be direct: Choosing a Property Management System (PMS) is one of the biggest technology decisions you'll ever make as a hotel owner. Period.
Get it right, and you’ll save your team countless hours of manual data entry, slash OTA commissions, and deliver a frictionless experience to your guests. Get it wrong, and you're staring down the barrel of overbookings, frustrated front-desk staff, hidden invoices, and a massive migration headache two years down the line.
I built this checklist to help you cut through the sales pitch and avoid the most common, expensive buying mistakes. It’s tailored specifically for independent hotels in Jordan that are considering Oracle OPERA Cloud (via JDS).
My advice? Take this checklist into your vendor demos. Share it with your operations team. Keep it right next to you when you’re reviewing those final proposals.
Part 1: Core Functionality — Does It Actually Work for You?
1. Does OPERA handle your daily workflows reliably?
"Don't just show me the dashboard. Can you walk me through a live demo of these exact scenarios from our actual hotel?"
- Creating a direct reservation vs. an OTA sync from Booking.com
- Checking in a walk-in guest during a busy shift
- Processing a complex group check-out with split folios
- Assigning housekeeping tasks for a 50-room morning turnover
- Generating the end-of-day financial reports for the owner
Everything should flow naturally. The front desk, reservations, and housekeeping modules shouldn't feel like different software stitched together. If a task takes your staff more than 3 to 4 clicks, usability is an issue.
If they can't demonstrate your actual, day-to-day workflows during the demo, pause the deal. The PMS must cover 90%+ of your daily operations out of the box, without relying on messy third-party workarounds.
2. Is it truly cloud-native, or just "cloud-hosted"?
"Was OPERA Cloud built from day one for the cloud, or is it an old on-premise system that was simply migrated to a server?"
Why it matters for Jordan: Internet connectivity can occasionally drop. True cloud-native systems handle brief offline scenarios gracefully and sync immediately when the connection returns. Plus, you get automatic background updates (zero downtime) and can manage the hotel from your iPad while having coffee in Abdoun.
3. Can one person manage multiple properties?
"If we open a boutique camp in Petra or a second hotel in Aqaba next year, can we manage all of them from this single OPERA login?"
Many local owners expand quickly. Don't lock yourself into single-property licenses. You want shared guest profiles (so you know if a guest stayed with you in Amman before they arrive in Aqaba) and centralized rate management.
Part 2: Integrations — Will It Play Nice With Your Stack?
4. Is the Channel Manager included, or an extra bill?
The Reality: OPERA Cloud typically does not include a built-in channel manager. You're going to need to integrate it with something like SiteMinder, RateGain, or D-Edge.
Expect to add $100–$300 per month to your software budget for a reliable channel manager. Clarify immediately if this cost is hidden inside JDS's proposal or if you have to buy it separately.
5. Which local OTAs and payment gateways connect flawlessly?
"Show me the written list of live integrations for Middle Eastern OTAs and payment providers."
You need global giants (Booking.com, Expedia) but don't forget regional players like Wego, Rehlat, and Almatar. For payments, ensure they have native connections to Network International (Jordan), PayTabs, or whatever gateway you use locally.
If they say "Oh, we can just figure the payment gateway out later via API," push back hard. Integrations must be confirmed before you sign the dotted line.
Part 3: Usability — Can Your Team Actually Use It?
6. Could a new hire learn the system in one afternoon?
During the demo, hand the mouse to a staff member who has zero hotel-tech experience. Ask them to create a reservation. If it takes a 10-page manual to figure out how to check someone in, the system is too clunky. Look for clean, intuitive UI and Arabic-language support materials.
7. Can housekeeping update statuses from their phones?
Your housekeeping team doesn't carry laptops. Ask JDS if there is a mobile app that lets cleaners mark rooms as "Clean" or "Inspect" directly from the floor. This single feature saves 15 to 30 minutes of walking back and forth to the front desk per shift.
Part 4: Pricing & Contracts — The True Cost
8. What is the All-In cost for 3 years?
Don't fall for a cheap "Year 1" setup fee that balloons in Year 2. Ask for a 3-year projection covering: the PMS subscription, channel manager, booking engine, payment fees, one-time implementation, training, and annual support.
| Typical Cost Item (50-Room Hotel) | Year 1 | Year 2 | Year 3 |
|---|---|---|---|
| OPERA Cloud Subscription | $8,000 - $12,000 | $8,000 - $12,000 | $8,000 - $12,000 |
| Channel Manager (3rd Party) | $1,500 - $3,000 | $1,500 - $3,000 | $1,500 - $3,000 |
| Booking Engine | $1,000 - $2,000 | $1,000 - $2,000 | $1,000 - $2,000 |
| Implementation & Training (One-time) | $7,000 - $14,000 | — | — |
| Estimated Total | $17,500 - $31,000 | $10,500 - $17,000 | $10,500 - $17,000 |
*Note: These are rough estimates. Demand an exact, itemized quote in writing.
Part 5: The "Vendor Scorecard"
Take this scorecard into your next meeting. Don't just pick the cheapest option—pick the one that scores highest across the board.
| Evaluation Criteria (Score out of 10) | JDS (OPERA Cloud) | Vendor B | Vendor C |
|---|---|---|---|
| Core functionality (Front desk, HK, Billing) | /10 | /10 | /10 |
| True Cloud-Native infrastructure | /10 | /10 | /10 |
| Channel Manager & Booking Engine integrations | /10 | /10 | /10 |
| Jordanian Payment Gateways supported | /10 | /10 | /10 |
| Mobile Housekeeping App included | /10 | /10 | /10 |
| Usability (New staff learning curve) | /10 | /10 | /10 |
| 3-Year Total Cost transparency | /10 | /10 | /10 |
| Local Support (Arabic, 24/7 SLA) | /10 | /10 | /10 |
| Total Score (Out of 80) | /80 | /80 | /80 |
Your Next Steps (Action Plan)
Here is exactly how you should execute this over the next 7 days:
Print this checklist out. Highlight the 3 most critical pain points your front desk is facing right now.
Email JDS: "We're evaluating OPERA Cloud. We need a live demo specifically addressing these workflows and questions."
Attend the demo with your GM and Head of Front Desk. Take brutal, honest notes.
Fill out the Vendor Scorecard. Put OPERA side-by-side with 1 or 2 competitors.
If the numbers and functionality align, request the locked-in 3-year contract. If not, walk away.
Checklists are amazing, but your instincts as a hotelier matter just as much. Did the vendor actually listen to your operational headaches, or did they just pitch shiny features? Did they speak Arabic with your staff on the floor? Would you feel comfortable calling them at 2:00 AM when a server crashes during a VIP check-in?
You aren't just buying a piece of software. You're choosing a business partner for the next 5 to 10 years. Choose wisely.
